Bank Statement Analysis for Mortgage Brokers

Automated bank statement analysis still needs broker review of transfers, expenses, recurring debts and exceptions before the figures support a submission.

Bank statement analysis checks a borrower’s receipts, spending and debt payments against the evidence needed for a mortgage assessment. Automated categories help organise transactions, but a broker still needs to trace transfers and refunds before using the totals. A salary payment moved between two accounts can otherwise look like two incomes.

The review starts with complete statements and ends with figures another assessor can trace back to the source. Keep the client’s explanations beside any change you make to an automated category.

Check the Statement Coverage

Check that each statement belongs to the borrower and covers the required dates before reviewing transaction categories. Match the account name and number to the application, including joint accounts. Confirm that every page is present and consecutive statement periods meet without gaps.

List the accounts that receive income, hold savings or pay household expenses. Include relevant loan and credit card accounts, then follow transfers to any account missing from the file. Reviewing only the salary account can miss spending paid from a separate account.

Record the start and end date for each account. If statements overlap, identify repeated transactions before combining exports. A balance certificate proves a balance on a date but doesn’t explain the transactions that produced it.

How Many Months of Bank Statements Does a Mortgage Need?

Australian mortgage lenders set their own statement periods for salary, savings, loan and credit card accounts. The purpose of the evidence also changes the period. There isn’t one number that answers how far back mortgage lenders look at bank statements for every application.

For example, ANZ’s published documentation pages, as at October 2026, distinguish these requirements:

Before requesting documents, check the chosen lender’s current requirement for each account type, including credit cards. Record the required period separately from the period received. Extend the review when a missing transfer destination or an irregular payment needs earlier evidence to explain it.

A Fictional Month With Transfers and a Refund

This fictional September example uses two accounts owned by the same borrower. All amounts are Australian dollars, and the table shows selected transactions rather than a complete household budget.

A total of every credit across both accounts is $7,650. Confirmed salary is $4,800, with the separate $250 receipt still needing classification. The $2,000 transfer and $600 refund create the difference.

Adding every debit gives $2,600. Once the internal transfer is excluded and the purchase is matched to its full refund, net spending from those rows is $0. Keep the purchase and refund visible so the assessor can reconstruct that result.

If the refund arrives in October, September still shows the $600 outflow. Retain the later reversal and explain which period each figure covers. Don’t silently move transactions between periods to improve the expense total.

Separate Income, Transfers and Debts

Classify receipts by their source before deciding which amounts support income. Match an internal transfer using both accounts, the amount and the transaction dates. Similar descriptions alone don’t establish that two entries are the same transfer.

Compare employer credits with payslips and the pay cycle. In the fictional example, the $250 could be a reimbursement or an additional wage payment. Retain the payslip or employer explanation that identifies it, then apply the lender’s treatment of that income type.

A large credit can also be borrowed money, a gift or proceeds from selling an asset. Record what it is and keep supporting evidence. The amount deposited doesn’t establish sustainable income.

Review recurring payments to finance providers and payments that appear late, reversed or repeatedly rejected. Ask what facility each payment services and compare it with the declared liabilities. A smaller payment in one month doesn’t prove that the debt balance or credit limit has fallen.

Business Accounts Need a Separate Reconciliation

For a commercial application, reconcile business-account receipts with business activity statements (BAS), financial statements and facility records. Match the same periods and explain differences caused by invoice timing or the accounting basis. Gross bank credits alone don’t show profit or the cash available for repayments.

Separate customer receipts from transfers and loan proceeds. Identify goods and services tax (GST) within receipts where applicable, using the business’s accounting records. The Australian Taxation Office’s BAS guidance distinguishes total sales from GST on sales and purchases.

Record owner drawings separately from business operating expenses, while recognising that drawings still use cash. Review debt repayments and tax payments when assessing cash available to service the proposed facility. Explain any difference between reported turnover and customer receipts before drawing a conclusion about sustainable cash flow.

Review Categorised Expenses

Reconcile categorised expenses with the source transactions and the client’s explanation over the assessment period. Start with the categories that change the income-and-expense assessment. A merchant description identifies a payment, but it might not explain its household or business purpose.

Keep internal transfers out of spending totals once matched. When a borrower pays a credit card from a transaction account, review the underlying card purchases before deciding how to record the payment. Counting both can duplicate spending, while the card facility still needs its own liability treatment.

Check whether the period contains an annual bill or a temporary expense. Record the frequency and any supported change in the client’s circumstances. Use the lender’s expense method when converting the reviewed amounts into monthly inputs for loan serviceability.

Buy now, pay later (BNPL) instalments can appear as several small debits. Revolving credit repayments and unexplained recurring payments also need clarification. Keep the client’s explanation and the facility information before changing a servicing input, even if software puts the debit under shopping.

Free artificial intelligence (AI) bank statement analysis still needs this transaction-level review. A free plan doesn’t establish whether the output handles refunds correctly or whether a lender accepts it. Before using client data, establish who receives it and how the service retains or uses it.

Use fictional transactions to evaluate a tool’s handling of duplicates and irregular pay. For the example above, compare its output with the matched transfer and refund rows. An unexplained total needs correction before the output can support a submission.

Document Exceptions

Document every unresolved transaction and the evidence used to resolve it, including the reviewer’s final classification. Keep the automated category separate from the conclusion. A later assessor needs to see how you moved from the source entry to the assessment figure.

This fictional review note follows the additional employer credit from the worked example. It assumes the borrower supplies an expense claim and matching employer remittance after the initial review.

In a live file, add the reviewer’s name and decision date. If the evidence hasn’t resolved the credit, keep it as an open item and state its treatment in the assessment. Preserve the original statement and category report with the note.

Before submitting, reconcile the final figures to the reviewed period and account set. Every adjustment needs a source transaction, a reason and enough evidence for another assessor to follow the decision.
