Details to Include on the Invoice

Enter your business details, the customer and the services you agreed to supply. This free invoice generator labels the document “Tax invoice” for a GST-registered supplier and “Invoice” for an unregistered supplier.

A tax invoice identifies the supplier and their Australian Business Number (ABN). It also shows the issue date, a description of each sale, its quantity and price, the GST payable and each item’s tax treatment. For sales of $1,000 or more, it must identify the buyer or show their ABN. This tool includes the customer name at every amount.

The Australian Taxation Office’s tax-invoice requirements explain these details. GST registration and the tax treatment of your service determine whether you charge GST. Entering an ABN here does not check its registration.

Line Items, GST and Totals

Add up to 20 line items. For each item, enter a description, quantity and unit price. A GST-registered supplier can mix prices that include GST with prices that need GST added. GST-free and input-taxed items keep their own labels.

Each quantity multiplied by its unit price is rounded to the nearest cent. For a taxable price excluding GST, the tool adds 10%. For a price including GST, it divides that amount by 11 to find the tax component. Each line’s GST rounds to the nearest cent, with half a cent rounding up. The totals add those rounded lines.

The example starts with two consulting units at $250 and document preparation at $200. With no GST registration, the total is $700.00 and GST is $0.00. For a registered supplier, adding GST to the consulting line and leaving document preparation GST-free gives a $700.00 subtotal, $50.00 GST and $750.00 payable.

Use the tax treatment that applies to the actual service. A service’s finance-related description alone does not establish its GST treatment. Enter an already discounted unit price where needed. This generator handles positive invoices, without credit notes, foreign currency or part-payment balances.

Downloading and Keeping a Copy

Select “Print / save PDF” to open the browser’s print dialog. Choose a printer or select Save as PDF. The printed document includes the invoice details and totals, with your optional logo and notes. Turn off browser headers and footers if you want to omit the page URL.

All details and logo processing stay on your device. The generator does not send the invoice, store a copy or create an accounting ledger. Save the PDF before closing or reloading this page, then deliver it through your usual channel.

Business.gov.au’s invoicing guide explains keeping printed or electronic records. Most business records must be retained for at least five years. Keep your saved invoice with the supporting transaction records.

Invoice Numbers and Payment Terms

Replace the example invoice number with one from your business’s numbering system. Enter the actual issue date, agreed due date and payment instructions. The example’s 14-day interval is editable. It does not set your credit policy.

For bank transfer payments, include the account name, Bank State Branch (BSB) number and account number in the payment instructions. Add any payment reference your customer needs. Confirm those details against your own bank records before sending the invoice.

This online invoice maker suits an occasional invoice you can save and track yourself. For recurring billing, payment reminders or accounting integration, use a billing system that records invoice status and payments. Saving a PDF here does not mark a debt as paid or determine that a charge is legally owed.
