ApplyOnline for Brokers: Submission and Conditions

Lodging through NextGen ApplyOnline? Match data to evidence, check lender-specific fields and track conditions without confusing submission with approval.

ApplyOnline is NextGen’s platform for lodging loan applications and supporting documents with participating lenders, then following the lender’s responses. Before sending, reconcile the application with the evidence and complete the selected lender’s requirements. After sending, record receipt separately from assessment and approval.

Confirm Access and Lender Support

Use the ApplyOnline access your broker group or aggregator provides, with the correct lender accreditation attached to your account. NextGen’s broker guidance says ApplyOnline is licensed at broker-group or aggregator level. An individual broker’s access doesn’t establish a direct integration entitlement.

For the proposed application, establish the lender, lending product and submission type available through your access. A lender’s presence on the platform doesn’t mean every product or feature is enabled for your broker group. If the required option is missing, give your aggregator the lender name and proposed application type so it can resolve access or identify the authorised route.

Use your own authorised login and the brokerage’s approved arrangements for processors. Confirm who prepares the file and who has authority to submit it. NextGen directs brokers to their aggregator for platform assistance through its support page.

Example: Correct Income Before Lodgement

In this fictional application, Alex’s fact find records annual base salary of $100,000. The updated employment letter and payslip support $96,000. The processor identifies the difference before submission.

The broker corrects the application to $96,000 and records why the earlier figure changed. They update the servicing calculation and any lender-specific income questions affected by the correction. The final submission must use the supported figure, with the matching evidence attached.

Saving a corrected draft doesn’t establish that the lender received it. Retain the submitted version and acknowledgement together so the file shows which income figure was sent.

Validate Before Sending

Compare the final application with its supporting documents, then resolve the selected lender’s validation and submission requirements. ApplyOnline’s built-in checks help identify missing or incorrectly formatted fields. They don’t establish that an entered figure matches the client’s evidence.

Follow this order before sending:

  1. Reconcile applicant details and employment information with the evidence. Match income periods and distinguish base salary from other income components.
  2. Review the requested loan and security details. Reconcile liabilities, expenses and funds to complete with the file and servicing calculation.
  3. Complete mandatory lender fields and declarations. Read each validation warning and correct blocking errors before submission.
  4. Place the required documents against the appropriate conditions. Review legibility, document dates and the lender’s requirements for verification or signatures.
  5. Review the final application summary and retain the version you’re sending. Submit through the authorised route, then check the resulting acknowledgement.

As at October 2026, Macquarie’s supporting documents checklist requires documents in the labelled ApplyOnline tiles. For self-employed applications or a negative net servicing ratio at submission, Macquarie requires the current loan serviceability calculator as a PDF. These are Macquarie’s instructions, so use the selected lender’s checklist for another lender.

Keep policy research beside the evidence it supports. Bulma quotes the lender’s policy wording, which you can retain in file notes when explaining a documentation requirement. Bulma doesn’t lodge the application or connect to ApplyOnline.

Record What the Acknowledgement Establishes

A technical submission message shows a transmission event. A lender receipt establishes that the lender received the application. Credit assessment and approval require the lender’s corresponding response.

Record the ApplyOnline application identifier, submission time and lender reference when available. Keep the acknowledgement and the outstanding document conditions with that record. The NextGen lodgement guide says the lender identifier populates after submission and lender receipt.

Before telling the client the file has progressed, read the latest lender response and identify the next outstanding action. If receipt is established but assessment hasn’t begun, say the lender has received the application. Reserve approval language for the lender’s approval notice and explain any conditions that remain.

Track Conditions and Amendments

Track the lender’s latest status and outstanding conditions against the same application reference. NextGen’s guide identifies the Activity tab as the place for status updates and lender backchannel messages. Read the message detail before updating your brokerage’s file record.

NextGen’s advanced supporting documents guidance covers sending documents after submission and resolving outstanding condition cards. Completing a submission checklist doesn’t establish that every approval condition is satisfied. Keep each condition open until the lender’s response establishes its status.

Communicate a Change on the Existing File

For a change after submission, identify the original application and explain the old fact, corrected fact and supporting evidence. NextGen’s guide says unlocking and editing depends on the lender and application status. An available editing function doesn’t mean every amendment follows the same route.

Use the lender’s current amendment instructions for that file. Where editing is enabled, review the changed fields and affected calculations before sending the amendment. If editing is unavailable, send the correction through the lender’s designated channel and retain its response.

In the fictional Alex application, suppose a later employment change reduces annual base salary to $92,000. The broker records the change from the submitted $96,000, updates the servicing assessment and supplies the new evidence. The amendment carries the existing lender reference so the assessor can identify the version it changes.

A replacement application needs the lender’s instructions for handling the original file. Avoid creating a second live submission merely to send a correction. Keep the old submission, amendment explanation and subsequent acknowledgement in the file history.

If a document remains outstanding, compare its category and content with the condition before uploading it again. If transmission or status remains unresolved, give aggregator support the application reference and exact error. Use the lender’s support route for assessment or condition decisions.

The mortgage processing workflow helps assign follow-up ownership across the brokerage. Each open condition needs an owner and a next action, so a pending document doesn’t disappear between broker and processor.

Confirm NextGen Product and Pricing

Identify the NextGen solution and access arrangement before comparing a quote. NextGen lists separate solutions for origination, digital lodgement, assessment and Open Banking. A quote for lender assessment technology isn’t a broker’s ApplyOnline access quote.

NextGen’s broker guidance places ApplyOnline licensing at broker-group or aggregator level. It also says NextGen doesn’t support direct integration for an individual broker. Start an access or integration enquiry with your broker group, including when you operate across multiple aggregators.

A brokerage software subscription, lender-provided access and an integration project can cover different services. If a lender provides an entry point, establish what that access includes through your existing accreditation. If your brokerage pays a subscription, identify the provider and included services rather than assuming the charge is NextGen’s retail price.

For a written scope, give the broker group your user roles and required lenders. Describe the source system and the application data or documents you need to transfer. Ask it to identify the licensed product and which party supplies the connection.

Keep recurring access charges separate from implementation work and ongoing integration support. The scope must identify the included features, billing basis and tax treatment. It must also state any training, support or maintenance exclusions and who resolves failed transfers.
