Docusign is the best e-signature software for mortgage brokers who need to send document packs, track each signer and retain signing evidence. Its reusable templates and completion certificate suit repeat broker paperwork, while its official business-system connections support a growing team.

Other platforms suit Australian pay-per-envelope signing, PDF-centred work or documents assembled from reusable content. The right choice also depends on which signing method the document owner accepts and how much administration your brokerage can support.

1. Docusign

Docusign ranks first for repeat document packs that need several recipients and a traceable signing history. You can prepare a reusable template and send common file formats, including Word documents and PDFs. Its completion certificate records the signing process, including the authentication method used.

Docusign’s Standard plan suits shared team templates, while Business Pro adds more complex collection workflows. Its official Dynamics 365 connection brings recipient information into signing requests and shows agreement activity in the business system. That combination earns its placement for a brokerage whose signing work crosses several staff roles.

The limitation is the difference between a signing subscription and an automated deployment. Docusign’s published Standard and Business Pro annual allowances cover 100 sent envelopes per seat per year. Monthly plans cover 10 per user per month, and production application programming interface (API) access needs an eligible plan and a go-live process.

An envelope can contain several documents, so count sends as well as pages when sizing a plan. Docusign is the first choice here for a managed team workflow, provided the receiving party permits your selected method. Its brand name alone doesn’t establish acceptance of a lender’s loan contract or mortgage.

2. Adobe Acrobat Sign

Adobe Acrobat Sign ranks second for brokerages that already prepare and review PDFs in Acrobat. Acrobat team subscriptions combine PDF work with signature collection, tracking and audit records. Acrobat Sign Solutions is the separate route for advanced authentication and business-system integration.

Adobe’s distinction matters when the document requires a certificate-based digital signature. Sign Solutions supports cloud signature providers alongside ordinary electronic signing. That makes it a useful choice when the recipient specifies a trust provider or certificate method, subject to that exact configuration being accepted.

The drawback is the need to separate Acrobat’s included signing tools from Sign Solutions entitlements. A PDF editing licence doesn’t establish access to every workflow or authentication control. Adobe sells team licences and quote-based business solutions, with transaction allowances governed by the chosen agreement.

3. Annature

Annature ranks third for an Australian brokerage that wants to pay for sends instead of committing to sender subscriptions. Its signing product includes templates, automatic reminders and recipient progress tracking. Clients sign through a responsive browser page on a phone, tablet or desktop.

Annature’s certificate of completion and timestamped event trail support file evidence. Its product documentation describes password protection and two-factor authentication, plus edits to recipients and access settings after sending. Identity verification is a separately priced service, so signing and identity checks must be costed separately.

Annature fits an irregular signing workload particularly well because its public pricing is per envelope. It ranks below the broader team-workflow choices here because its own integration routes need individual assessment. Partner co-branding and an embedded API route are documented, but co-branding doesn’t mean every vendor identifier disappears.

Annature’s security page places its storage in Sydney. That is useful for a brokerage with Australian storage requirements, although storage location doesn’t settle document acceptance. Its audit technology uses chained cryptographic event hashes, which also doesn’t establish that a receiver’s specific certificate-based signing requirement is met.

4. PandaDoc

PandaDoc ranks fourth for brokerages that create engagement documents and reusable forms as part of the signing job. Its Starter plan combines a document editor with uploads, electronic signatures and tracking. Business adds content-library and branding functions, with integrations and web forms carrying additional terms.

PandaDoc’s document editor suits a brokerage that writes its own agreements. For a lender-supplied pack, preserve the issued document and signing channel. More document-creation features don’t overcome a receiving party’s prescribed signing channel.

PandaDoc’s current pricing page lists a five-document monthly shared limit on Free. Starter and Business list unlimited documents created through the user interface, while API creation and automation use separate credits. Its pricing page labels API functions and several integrations as credit-based or paid additions.

The completion certificate identifies signers and records timestamps and internet protocol (IP) addresses. It requires a signed signature or initials field, and manually marking a document complete doesn’t generate the certificate. This distinction matters when staff finish a file administratively without completing the intended signing process.

Lender Acceptance, Identity and Audit Evidence

Lender acceptance depends on the document and its prescribed signing route, while authentication and audit evidence describe what the platform can prove. A broker-owned engagement agreement and a lender-issued mortgage pack have different document owners. The rankings above concern broker-controlled paperwork where electronic signing is permitted.

ANZ’s home-loan signing page says some documents can be electronically signed and separates the mortgage document from the letter of offer. It doesn’t establish that brokers can reissue every ANZ document through their preferred platform. Use the issuing party’s designated process for lender, solicitor or settlement documents.

The Attorney-General’s Department explains that electronic-signature methods and receiving-party consent are distinct considerations. Platform capability and general legality therefore don’t establish acceptance for a particular document. Email access, a one-time code and an identity-document check prove different things. A code sent by text message helps control access to a phone number. It doesn’t independently establish the signer’s legal identity or satisfy a lender’s verification-of-identity procedure.

Cryptographic digital signing attaches certificate-based evidence to the document. Generic electronic signing can instead record an action and its surrounding events. Where the receiver requires a named certificate method, include that configuration and a validation check in the pilot before comparing products as substitutes.

Retain event timestamps with their time-zone context. Adobe audit reports default to Greenwich Mean Time, with configurable account or group settings on Sign Solutions. PandaDoc documents its certificate timestamps in Coordinated Universal Time by default.

Sending, Tracking and In-Person Options

A complete signing workflow starts with the correct document version and ends with the completed document and evidence saved in the client file. Tracking a viewed document is an intermediate state. It doesn’t establish that every required signer has completed the pack.

Consider a synthetic broker-owned engagement agreement for two fictional borrowers, Alex and Sam. The brokerage controls this example document, and it contains no real borrower data. The following sequence is a pilot design, not a claim that any platform has returned these results.

  1. Save the approved agreement as a template. Assign each borrower’s fields and keep the broker’s approval separate from borrower signatures.

Remote browser links let clients sign without attending the office. Annature explicitly documents signing without an installation, while Docusign and Adobe support browser and mobile signing routes. A mobile app can help a sender manage work, but recipient access must be assessed separately from staff convenience.

For in-person signing, Adobe’s hosted mode places responsibility for identity checking on the host. Authentication in that mode applies to the host, so the shared device itself doesn’t authenticate the borrower. The host must remain present, and interrupted sessions can require restarting.

Australian signature-pad procurement is a separate hardware decision. Topaz documents an Adobe Sign extension, while signotec documents an Acrobat plug-in. Neither establishes universal compatibility with every current browser, operating system or signing plan.

A dedicated pad requires supported drivers or software. The supervised session must attach its capture to the document’s evidence.

A touchscreen workflow can avoid separate hardware when the receiving party accepts it. Cost the pad and workstation setup separately, and include device failure in the pilot.

Integrations, APIs and Administration

An integration is useful when it transfers approved document data and returns completion evidence to the right file. Its administrator must own both permissions and failures. Classify the connection before treating it as an automatic part of your signing subscription.

Google eSignature supports eligible Workspace editions, including Business Standard and Business Plus. Its final PDF includes an audit trail with event timestamps and requester and signer details. It fits simple Docs or Drive workflows, but that eligibility doesn’t establish compatibility with a lender’s required authentication method.

Docusign’s production API uses authorised access and a separate go-live configuration. The developer must configure production authentication and endpoints, then handle embedded signing and status notifications. PandaDoc keys inherit the generating user’s permissions and stop working when that user leaves the workspace. Its sandbox sends are watermarked and restricted to the business domain.

The developer must separate test recipients from production recipients and retain a stable, authorised key owner.

For any API route, name the developer responsible for the test and production environments. Require a verified completion event, retry handling and a queue for exceptions. If a callback is lost, reconcile the platform’s authoritative status before sending another copy or marking the client file complete.

Give vendor support and your developer distinct responsibilities. Vendor support handles the signing service, while the developer handles mapping, credentials and recovery in the receiving system. Include which email domains and interface areas remain vendor-branded in the agreement.

Pricing, Pilot and Final Choice

Compare signing costs by sender seats, document sends and verification usage before adding integration work. A small brokerage with three senders and 30 packs a month creates 360 annual sends. Include verification attempts and text-message delivery in the cost model. Add API credits, embedded-flow development and white-label options where required. Hardware, onboarding and premium support can create costs outside the signing subscription.

Use authorised trial accounts with synthetic documents for the final pilot. Test an incorrect recipient and an expired request, then interrupt the completion notification. Confirm that staff can recover without an unauthorised signer, duplicate send or missing evidence.

Require the completed document and evidence to reach the client system together. Give a person ownership of exceptions and record the billing allowance used by each run. The pilot passes when the receiving party’s approved method is preserved and failures remain visible to your team.
