Mortgage Broker Marketing Tools by Task 2026

When your CRM leaves a marketing gap, compare mortgage broker marketing tools and systems by task, integration, account control and total cost.

Mortgage broker marketing tools need to cover five tasks: design, publishing, contact capture, email and attribution. List what your customer relationship management (CRM) system and aggregator already do for each task. Then add a tool only where a task has no owner or a handoff loses information.

Pay closest attention to the handoff that moves an enquiry into your CRM. If the consent record, the opt-out or the claim the person responded to doesn’t move with the contact, you can’t prove you’re allowed to email them. You also can’t show what you promised.

This page compares tools by task, integration type, account control and cost structure, using a fictional brokerage as the example. The campaigns themselves come from your mortgage broker marketing plan.

Inventory Existing Capabilities

Record what your CRM and aggregator already do for each marketing task before you consider another subscription. Some broker platforms already send email and capture enquiries, so the real gap can be a single task.

As at October 2026, AFG’s BrokerEngine Plus page lists an Email Outbox that sends workflow emails from your own domain. It also lists automated workflows, client segmentation and referral tracking. Salestrekker’s features page lists Webforms that bring website leads into the CRM, automated workflows and more than 50 integrations.

Use a short inventory like this one. Fill in the right-hand column from your own logins, not from a vendor brochure.

Follow One Enquiry Into the CRM

Trace one enquiry from the form a person fills in to the record your broker opens. Judge every tool on whether four things survive that move.

  • Consent. The Australian Communications and Media Authority (ACMA) says you must be able to prove consent, so record who gave it, when and how. Its spam guidance, last updated 29 November 2024, also requires an unsubscribe option that is honoured within 5 working days.
  • Opt-outs. An unsubscribe recorded in your email tool has to reach the CRM, and the reverse. Otherwise the next send from the other system ignores the request.
  • Source. The Office of the Australian Information Commissioner’s Australian Privacy Principle (APP) 7 guidelines, published 22 July 2019, say an organisation must act on opt-out requests. On request, it must also tell a person where it got the information it used for direct marketing, unless that’s impracticable or unreasonable.
  • The original borrowing claim. The broker who calls the enquiry needs the exact message the person responded to, such as “buy with a 5% deposit”. Store the campaign name or a link to the approved version on the contact, where every staff member who handles enquiries can open it.

A tool that drops any of these four on the way into the CRM creates manual work for every enquiry. Count that work as part of the tool’s cost.

Match Tools to Tasks

Give each of the five tasks one owner, either a person or a tool, and then label how information moves between them. When two tools both send email, each keeps its own unsubscribe list unless they sync.

Label every handoff with one of these four types. They decide how much setup and checking each connection needs.

  • Native integration: one of the two products builds and supports the connection inside its own settings.
  • Official connector: a vendor publishes and lists the app or integration.
  • Third-party automation: a service such as Zapier watches one tool and performs an action in another.
  • Manual export: someone downloads a file and imports it into the next tool.

Where Each Tool Fits

Canva fits when you design more than your aggregator’s templates allow. The Pro plan covers one person and schedules social content. Business adds approval by individuals and groups, which lets a broker sign off a design before anyone publishes it.

Meta Business Suite creates and schedules posts, stories and ads for Facebook and Instagram from one planner. It also has an inbox for messages from both platforms. Meta lead ads collect an enquiry inside Facebook or Instagram, and the leads sit in Meta’s Leads Centre until a CRM connection or an automation moves them.

Zapier’s Facebook Lead Ads and Mailchimp integration adds or updates a Mailchimp subscriber when a new lead arrives. That’s third-party automation, so map the consent and campaign fields yourself. A connection that copies only the name and email address loses the record of what the person agreed to.

Mailchimp suits a brokerage that sends a regular newsletter to past clients and partners who have agreed to receive it. A/B testing, which sends two versions of an email to see which gets more responses, needs Standard or Premium. If your CRM already sends from your domain, segments clients and records unsubscribes, a separate email tool may add a second list without adding a capability.

GA4 reports which campaign brought each website visitor when your links carry Urchin Tracking Module (UTM) tags. Google’s UTM guidance says to always use utm_source, utm_medium and utm_campaign. Tag names are case-sensitive, so “Meta” and “meta” appear as two sources, and links without tags show as “(not set)”.

When Your Existing Setup Is Enough

A solo broker whose CRM has a webform, workflow email and a source field often needs only a design tool. Add Canva, use the CRM for everything else, and complete the source field on every enquiry by hand.

A team running paid social ads and a monthly newsletter needs more connections. That’s where lead ads, an email platform and an automation tool earn their place, along with the setup each handoff needs. Check the Marketing System

Keep audience exports, consent records and administrator access inside accounts the brokerage owns. Then the list, its consent history and its opt-outs stay with the brokerage when a staff member or agency leaves.

As at October 2026, Mailchimp’s user levels page says only the Owner and Admin roles can export an audience. Admin is available on Essentials and above, while the Author role is on Standard and Premium. Mailchimp’s Free plan has one seat, so an agency working on a free account has to use the owner login.

Check these controls in each tool before you connect it.

  • The account owner’s email address is a brokerage address, not a staff member’s personal email or an agency’s.
  • At least two people in the brokerage hold administrator access.
  • An agency or contractor has a role that can’t export the audience. In Mailchimp, the Author role drafts and edits emails without sending them, and the Manager role on Premium sends without exporting.
  • You can export the full audience with its consent and opt-out fields, and you have done it once.
  • Unsubscribes in the email tool reach the CRM, and opt-outs recorded in the CRM reach the email tool.

Follow a Campaign From Draft to Publication

ASIC’s Regulatory Guide 234 (RG 234), issued 9 June 2026, says promoters should keep a record of their advertising. Decide which platform holds the approved version and which ones only schedule a message. The fictional campaign below shows the difference.

Northside Home Loans is a fictional brokerage with a broker named Mei and a marketing coordinator named Sam. Harbour Bank, a fictional lender, starts accepting a 5% deposit with no lenders mortgage insurance (LMI) for listed medical professionals. Mei wants an email, a social post and a landing page form for doctors in her area.

  1. Mei confirms the rule in Harbour Bank’s policy and saves the policy wording with the date she checked it.
  2. Sam drafts the email header, social tile and landing page copy in Canva Business from Northside’s brand kit.
  3. Sam requests approval in Canva, and Mei approves each design after comparing the claim with the saved policy wording.
  4. Sam exports the approved designs as a PDF and saves it in Northside’s document store with Mei’s name, the approval date and the policy source.
  5. Sam pastes the approved copy into Mailchimp and schedules the email, then schedules the social post in Meta Business Suite.
  6. Every link carries UTM tags, and the landing page form records consent and the campaign name on each enquiry it sends to the CRM.

If Sam edits the email in Mailchimp after approval, the scheduled message no longer matches the approved version. Northside’s rule is that any edit after approval goes back to Mei, and the new PDF replaces the old one in the document store.

Compare Cost

Work out each tool’s operating cost from four drivers: contact limits, user seats, the add-ons or higher plans you need and the implementation work to connect it. Subscription prices change often, so price each tool from its current pricing page once these drivers tell you which plan you need.

These are the cost drivers for the shortlisted tools as at October 2026.

The contact count changes Mailchimp’s cost most. Mailchimp’s contact help page says unsubscribed and non-subscribed contacts count toward the limit, while cleaned and archived contacts are excluded.

Worked Example: Northside’s Contact and Seat Count

Northside’s CRM holds 2,400 contacts in this fictional example. Of these, 1,500 agreed to receive marketing, 300 have unsubscribed and 600 are past enquiries who never gave marketing consent.

Importing all 2,400 into Mailchimp makes all 2,400 billable, although 900 of them have unsubscribed or never agreed to marketing. Northside imports the 1,500 subscribers and the 300 unsubscribed contacts, so Mailchimp keeps the 300 marked as unsubscribed and doesn’t email them. That’s 1,800 billable contacts, and the 600 without consent stay in the CRM only.

Seats follow account control. Mei and Sam need access, and Northside’s agency copywriter needs a role that can’t export the audience, so Northside needs Mailchimp’s Standard plan for the Author role. Essentials would have given the agency an Admin role or the owner login instead.

Northside’s lead ads also run through one multi-step Zap that creates the CRM contact and adds the Mailchimp subscriber. That’s two tasks per lead, so 40 leads a month use 80 tasks. A multi-step Zap needs a paid Zapier plan.

Implementation is the last driver. Northside’s fictional estimate is 12 hours of Sam’s time.

  • Map the consent, source and campaign fields from the form and lead ads into the CRM: 4 hours.
  • Set up the opt-out sync between Mailchimp and the CRM, then test it in both directions: 3 hours.
  • Write the UTM naming rules and tag the existing campaign links: 2 hours.
  • Build the approval folder and write the withdrawal procedure below: 3 hours.

Test the Withdrawal of an Outdated Promise

Before you commit to a tool set, time how long it takes to withdraw one eligibility promise from every active form and message. RG 234, issued 9 June 2026, says advertising information should be current and outdated advertisements withdrawn, with particular care for social media.

Run it as a drill on a claim you’re retiring anyway, such as Northside’s Harbour Bank deposit message at the end of its campaign.

  1. List every place the claim appears: the landing page, the lead ad form, scheduled social posts, scheduled and automated emails, CRM email templates and Canva templates.
  2. Next to each place, name the control that stops it and the person who holds that login. The control can be unpublish, pause, unschedule or edit.
  3. Withdraw the claim everywhere and record the time each item took.
  4. Approve the replacement wording and save the new PDF in the document store before anything goes back up.

Automated emails and saved templates are the places most likely to be missed. They keep sending or get reused after the visible campaign stops.

On Northside’s Standard plan, Sam needs Mailchimp’s Admin role to run the withdrawal. The agency copywriter’s Author role can pause an email but can’t pause an automation flow or unpublish a landing page.

Mark any item you haven’t tested as untested in the withdrawal procedure. Then test it in the first week after setup.

The test starts when someone learns the rule has changed. Bulma alerts you when a lender policy you’ve asked about changes, and each answer quotes the policy wording with the date Bulma last updated it. Save that answer with the campaign approval, so the person running the withdrawal knows which messages relied on the rule.

Choose the smallest set of tools that gives every task one owner and keeps consent, opt-outs and the approved claim attached to each enquiry. Add the next tool only when your inventory shows a task your current systems can’t do, and count its contacts, seats, add-ons and setup hours before you subscribe.
